Once Optima Explore India Pvt Ltd (Anex Tour India) returns the User’s passport and documents, it is the User’s responsibility to verify that all required visas have been obtained and that the details are correct and match their travel itinerary. The User should also check that their personal details on the issued visa are accurate.
If a visa application is rejected and the User wishes to reapply or appeal, Optima Explore India Pvt Ltd (Anex Tour India) will proceed only according to the User’s instructions. Reapplication or appeal will be treated as a new transaction, and the User will be responsible for any applicable fees and Optima Explore India Pvt Ltd (Anex Tour India)’s service fee. The company will not initiate a reapplication without explicit instructions from the User.
In some instances, a third-party vendor engaged by Optima Explore India Pvt Ltd (Anex Tour India) may decline to submit the User’s visa application based on the provided credentials. This occurs only if the vendor believes there is a significant risk of rejection. If additional documents are needed, the vendor will inform the User, and the application will be submitted only if these documents are provided and deemed satisfactory. If the vendor does not submit the application, the visa fee will be refunded, but Optima Explore India Pvt Ltd (Anex Tour India)’s service fee will remain non-refundable.
TOUR ARRANGEMENTS & OTHER ACTIVITIES
For arrangements like carnivals, cosmos, star cruises, amusement parks, and museums, the terms and conditions specified by those entities will apply.
If the User uses pre-tour services or air tickets but fails to join the main tour, it will be considered a "no-show," and no refund will be given for unused services.
Optima Explore India Pvt Ltd (Anex Tour India) is not liable for any risks to health, safety, or well-being during activities, including adventure sports or amusement park rides. Any resulting incidents will be the User’s responsibility.
VISA SERVICES

Optima Explore India Pvt Ltd (Anex Tour India) functions solely as a facilitator for visa processing and is not responsible for the approval or denial of User(s)’ visas in any capacity. The decision to grant or reject a visa rests entirely with the relevant Embassy.
Services provided by Optima Explore India Pvt Ltd (Anex Tour India) should not be misconstrued as visa advisory or consultancy. The company acts based on the User’s instructions. The User acknowledges full responsibility for understanding the visa requirements for their intended travel destination(s) and must instruct Optima Explore India Pvt Ltd (Anex Tour India) accordingly to initiate the visa application process.
Optima Explore India Pvt Ltd (Anex Tour India) is limited to informing the User about the documentation required for a visa application to a specific country or jurisdiction, collecting those documents from the User, and submitting them to the appropriate embassy or high commission. The information provided, including documentation requirements, fees, and processing times, is based on details from the respective embassy or high commission. Optima Explore India Pvt Ltd (Anex Tour India) does not provide advice on the merit, completeness, or suitability of the documents or the probability of visa approval or rejection.
The company may also inform the User of the typical processing time for visa applications. However, it remains the User’s responsibility to apply for the visa well in advance to ensure timely receipt before the departure date.

For visa applications that require passport submission, Optima Explore India Pvt Ltd (Anex Tour India) will take appropriate measures to ensure the passport is returned safely to the User. However, the company is not liable for any loss or misplacement of the passport during transit by the logistics provider.
The list of countries for which visa application services are available is provided on the visa section of the desktop site and mobile app. This list may change at Optima Explore India Pvt Ltd (Anex Tour India)’s discretion.
Optima Explore India Pvt Ltd (Anex Tour India) will not be held responsible for any delays or non-issuance of visas by consulates, embassies, or authorities. PAYMENTS AND OTHER CHARGES

This fee is in addition to the visa fees, embassy charges, and any other fees required by the embassy. The User must pay this service fee to Optima Explore India Pvt Ltd (Anex Tour India) when engaging their services. This service fee is non-refundable for any reason, even if the User decides not to proceed with the visa application or if it is rejected.
Additional charges for logistics, such as document pickup, passport collection, courier fees, or other costs beyond the standard scope of work, will be billed separately to the User.
Embassy fees, taxes, and other charges not controlled by Optima Explore India Pvt Ltd (Anex Tour India) may change without prior notice. The company cannot be held responsible for such changes. These fees and charges are non-refundable once the visa application is submitted, in line with embassy guidelines, and Optima Explore India Pvt Ltd (Anex Tour India) has no control over these aspects.
OUTBOUND AND DOMESTIC TOURS
DEFINITIONS
Independent Contractors Refers to entities such as hoteliers, hotel proprietors, airline operators, shipping companies, railway or ferry operators, coach owners, or any other individual or organization engaged to deliver services to the User.
Outbound Tour A journey organized by Optima Explore India Pvt Ltd (Anex Tour India) outside India, encompassing various types such as brochure tours, special tours, package tours, cruises, sightseeing trips, carnivals, cosmos, star cruises, and similar experiences.
Tour Cost The comprehensive total for all services booked by the User for their outbound tour.
Booking Fees A non-refundable deposit or initial payment made by the User at the time of booking.
Brochure Any catalogue, leaflet, email, or other document that provides information about the itinerary and activities associated with an outbound tour.
Infant A child under 2 years of age, whereas a "Child" is defined as a person aged between 2 and 12 years.
ROLE OF Optima Explore India Pvt Ltd (Anex Tour India) AND LIMITATION OF LIABILITY
Optima Explore India Pvt Ltd (Anex Tour India) does not manage or operate any airlines, shipping companies, coaches, hotels, transport vehicles, restaurants, kitchen caravans, or other facilities mentioned in the Brochure.
The company will not be liable for any delays, inadequate service, or the quality of service provided by any service provider or Independent Contractor, nor for any injury, death, loss, or damage caused by the actions or omissions of hotels, airlines, shipping companies, cruise operators, coach owners, or tour operators associated with Optima Explore India Pvt Ltd (Anex Tour India).
Optima Explore India Pvt Ltd (Anex Tour India) is also not responsible for any issues caused by co-travelers or co-passengers that might result in injury, damage, or disrupt the User’s experience of the tour.
As a facilitator, Optima Explore India Pvt Ltd (Anex Tour India) is not liable for:
Personal injury, illness, accidents, death, loss, delay, discomfort, additional costs, incidental or consequential damages or theft affecting the User or their travel companions.
Actions, omissions, or defaults of travel agents, third parties, or their staff involved in providing accommodation, meals, transportation, or other services.
Loss or damage to baggage or personal belongings including negligence on the part of others.
Service delays by the service providers.
Airlines not accommodating passengers despite having confirmed tickets, including issues like overbooking or route changes, or hotels failing to honor confirmed bookings for any reason.
Disputes with tour managers
Delays at airports or hotels due to technical issues or other causes not attributable to Optima Explore India Pvt Ltd (Anex Tour India). The company will not be responsible for arranging alternative services, including food or accommodation, during such delays.
Damage resulting from factors beyond Optima Explore India Pvt Ltd (Anex Tour India)’s control
In no case shall Optima Explore India Pvt Ltd (Anex Tour India)’s total liability for any claims related to the tour exceed the total amount paid by the User for the booking.
In exceptional circumstances, such as adverse weather conditions, labor disputes, insolvency, business exigencies, government decisions, or operational issues, service providers like airlines, hotels, or transportation operators may be unable to honor confirmed bookings. If Optima Explore India Pvt Ltd (Anex Tour India) is made aware of such situations in advance, it will endeavor to offer suitable alternatives or refund the booking amount, minus reasonable service charges, provided refunds are received from the respective service operators. The User acknowledges that Optima Explore India Pvt Ltd (Anex Tour India) acts solely as a booking facilitator and is not responsible for such events. The company’s maximum liability in such cases will be to refund the booking amount, subject to receipt from the service providers.
BROCHURE
All details presented in the Brochure are based on information available at the time of its publication. Optima Explore India Pvt Ltd (Anex Tour India) reserves the right to update or modify any details in the Brochure before or after booking an outbound tour due to unforeseen events beyond its control.
If Optima Explore India Pvt Ltd (Anex Tour India) becomes aware of any changes prior to the departure for an Outbound Tour, reasonable efforts will be made to inform the User before departure. If changes are discovered after departure, the tour manager or local representative will notify the User.
The prices listed in the Brochure are based on rates effective at the time of printing. Optima Explore India Pvt Ltd (Anex Tour India) retains the right to adjust these prices in response to currency fluctuations, changes in exchange rates, fuel costs, seasonal surcharges imposed by suppliers, or increases in airline or rail charges before departure. Users must settle any price increases before departure.
In addition to these Terms of Service and the User Agreement, specific terms and conditions related to the Outbound Tour are detailed on the Website, in email communications, and in confirmed booking vouchers. These terms are part of the Optima Explore India Pvt Ltd (Anex Tour India) User Agreement Terms of Service and should be read in conjunction with each other.
Optima Explore India Pvt Ltd (Anex Tour India) will not entertain any claims regarding Brochure changes for an Outbound Tour if such changes are due to factors beyond its control.
MEALS AND SPECIAL REQUESTS
The meal options on the Outbound Tour are pre-set, and their nature is specified in the Brochure. Optima Explore India Pvt Ltd (Anex Tour India) does not guarantee special meal requests or dietary accommodations beyond what is mentioned in the Brochure.
Optima Explore India Pvt Ltd (Anex Tour India) reserves the right to alter the menu if necessary. If a User is unable to enjoy the scheduled meals, no claims for unutilized meals will be accepted.
Users should be aware that breakfast times vary by hotel and are stated in the confirmed booking voucher. Hotels typically do not offer packed or room-delivered breakfasts; meals must be consumed during the designated time. If breakfast is missed, no claims will be entertained.
Optima Explore India Pvt Ltd (Anex Tour India) may consider special meal requests or room preferences if these requests are accommodated by the service providers. While the company will strive to honor these requests, it will not be liable if they are not fulfilled. Any additional costs for special meals or requests are to be borne by the User.
If a User purchases a special meal independently, they are responsible for the extra cost and cannot claim reimbursement from Optima Explore India Pvt Ltd (Anex Tour India).
Should the User miss a meal due to a fault of Optima Explore India Pvt Ltd (Anex Tour India), the liability is limited to the proportionate amount paid for the meal during the booking.
HOTELS IN THE OUTBOUND TOUR
Optima Explore India Pvt Ltd (Anex Tour India) carefully selects hotels for the Outbound Tour based on internal assessments and aims to offer the best in their categories. Hotel details are typically provided in advance through the proposed itinerary. However, the company reserves the right to change hotels before booking due to availability or other factors beyond its control.
Once a User selects a hotel category or star rating, no claims regarding the star rating or type of the hotel will be accepted later.
Optima Explore India Pvt Ltd (Anex Tour India) is not liable for any inconvenience or discomfort caused by insufficient hotel services. The company acts as an intermediary between the User and the hotel and cannot be held responsible for service deficiencies.
The User is responsible for any damage caused to hotel property by themselves or their guests. The hotel will determine the extent and cost of such damage, and Optima Explore India Pvt Ltd (Anex Tour India) will not intervene.
Requests for hotel changes will not be entertained after booking confirmation. If a User independently upgrades or changes a hotel, they agree to cover any additional costs and cannot claim reimbursement from Optima Explore India Pvt Ltd (Anex Tour India).
The User is responsible for their own baggage and valuables. Optima Explore India Pvt Ltd (Anex Tour India) will not be liable for any loss or theft of baggage or personal items during hotel stays or throughout the tour.
ITINERARY
Optima Explore India Pvt Ltd (Anex Tour India) will provide a proposed itinerary before booking, which may be subject to changes. The confirmed booking details and hotel vouchers provided before departure and after full payment will be final.
Tour prices may increase without prior notice if there are significant changes before departure. The User will need to pay any additional costs before departure.
The itinerary’s days and nights are based on hotel and airline availability. No claims regarding the full use of the final day or inclusions in the tour will be accepted.
Optima Explore India Pvt Ltd (Anex Tour India) strives to finalize the itinerary to ensure User convenience and comfort. If changes occur, the User will be informed before departure. Post-departure changes beyond Optima Explore India Pvt Ltd (Anex Tour India)’s control will be communicated as they arise, but the company is not responsible for any resulting loss.
The company reserves the right to claim any additional costs due to delays or changes in the itinerary caused by any reason.
Optima Explore India Pvt Ltd (Anex Tour India) may amend, alter, or withdraw any departure, excursion, hotel, or other itinerary aspects if deemed necessary.
If a User misses any tour activity due to personal delay, Optima Explore India Pvt Ltd (Anex Tour India) will not refund the cost of the missed activity.
No itinerary changes will be accommodated post-booking as they might disrupt the entire tour. However, Optima Explore India Pvt Ltd (Anex Tour India) may, at its discretion and subject to availability, make changes requested by the User. Any additional costs resulting from such changes are to be covered by the User.
COACH AND SEATING
During Outbound Tours, coaches are used for transfers and local sightseeing. Seat numbers are not assigned; Users should follow the Tour Manager’s instructions regarding seating arrangements.
Users are advised to keep valuable personal belongings with them and not to leave them behind when disembarking the coach. Optima Explore India Pvt Ltd (Anex Tour India) will not be responsible for any loss of items left on the coach. Users are responsible for their own baggage and personal effects at all times.
Any damage caused to the coach due to the User’s actions will be the User’s responsibility. Optima Explore India Pvt Ltd (Anex Tour India) will not be liable for such damages.
Coaches operate under specific regulations, such as daily and weekly maximum driving hours and rest periods. Users must adhere to the scheduled timetable to ensure the driver can complete the journey. If any sightseeing is missed due to delays caused by the User, no refunds will be issued for those missed activities.
In case of a coach breakdown or vehicle issues, Optima Explore India Pvt Ltd (Anex Tour India) will arrange for an alternative vehicle within a reasonable time. The company is not liable for delays caused by breakdowns, traffic jams, or any other issues affecting the provision of the alternative vehicle.
TIPPING
Tipping is customary around the world for services such as those provided by porters, coach drivers, and guides, unless otherwise specified in the brochure. The decision to tip is entirely at the User’s discretion.
In Europe, tipping is expected for service providers such as local guides, waiters, tour managers, and porters. It is mandatory to tip coach drivers a nominal amount of 2 Euros per person per day in Europe and the UK, and 2 Dollars per person per day in the USA for the duration of the tour.
CURRENCY AND TRAVELERS’ CHEQUES
It is advisable for Users to carry money in a combination of local currency, traveler’s cheques, or a travel currency card. Traveler’s cheques are a secure way to carry funds, as they can be cashed with a minor service fee and replaced if lost or stolen, provided the cheque numbers and counterfoils are available.
Alternatively, a travel currency card offers a secure means of carrying foreign currency and provides 24/7 access to cash at ATMs.
BOOKINGS THROUGH THIRD PARTIES/TRAVEL AGENTS
When a travel agent signs the booking form on behalf of the User, it is considered that the User has authorized the agent to do so. The agent’s signature on the booking form is binding for the User.
If the User books through a travel agent, the contract is between the User and the travel agent, with Optima Explore India Pvt Ltd (Anex Tour India) serving as a supplier to the travel agent.
Users must provide correct contact information at the time of booking. Optima Explore India Pvt Ltd (Anex Tour India) is not responsible for claims arising from issues such as unreachable contact numbers.
Optima Explore India Pvt Ltd (Anex Tour India) is not liable for any promises made by other travel agents authorized by the User. All products and services are provided according to the Brochure or other documents provided at the time of booking.
Refunds for bookings made through other travel agents will be processed to the travel agent authorized by the User.
FORFEITURE OF DEPOSITS
Optima Explore India Pvt Ltd (Anex Tour India) may require a non-refundable booking fee at the time of booking.
If the User cancels the booking, fails to follow the payment schedule, or is unable to travel due to visa issues or personal reasons (including medical reasons), cancellation charges will apply as communicated by Optima Explore India Pvt Ltd (Anex Tour India).
Since flight tickets and hotel bookings are made concurrently with visa processing to ensure availability, Optima Explore India Pvt Ltd (Anex Tour India) is entitled to recover costs incurred from booking such services by deducting cancellation charges if the visa is denied. These charges cover expenses incurred by Optima Explore India Pvt Ltd (Anex Tour India) for booking services at the User’s request.
CANCELLATION DUE TO VISA REJECTION
All Users must hold a valid visa (including transit visas) for all countries included in the Outbound Tour.
If a visa is not granted, Users must inform Optima Explore India Pvt Ltd (Anex Tour India) immediately. Cancellation charges will be deducted, along with any additional visa-related expenses, with the remaining amount refunded.
If the User wishes to reapply or appeal against the visa rejection, Optima Explore India Pvt Ltd (Anex Tour India) will do so according to the User’s instructions. Reapplication or appeal is treated as a new transaction, and the User will be responsible for applicable fees and service charges. Optima Explore India Pvt Ltd (Anex Tour India) will not initiate visa reapplications unless instructed by the User.
CANCELLATION POLICY
Cancellation policies vary by service provider, tour type, and booking conditions. Users are advised to review the specific cancellation terms mentioned at the time of booking or in the service contract. In the event of cancellation, the following general principles apply unless otherwise stated:
- Advance payments and booking deposits may be non-refundable.
- Cancellation charges may include service fees, supplier penalties, and administrative costs.
- Refund amounts (if any) are subject to receipt from the concerned service providers.
- No refunds will be issued for partially used services or “no-show” situations.
Users should carefully review the individual cancellation policies associated with their travel product (flights, hotels, tours, etc.) and confirm all conditions before making changes or canceling their booking.
PAYMENT POLICY
Deposit: To confirm your reservation, a deposit of 30% of the total booking cost is required within 3 days of confirmation.
Total Payment: The full payment must be completed at least 7 days before the departure date.
Late Bookings: For bookings made within 5 days of departure, full payment is required at the time of booking.
PAYMENT OF THE TOUR COST
Payment should be made according to the schedule provided in the brochure, email, or any other documented information given at the time of booking.
Payments can be made online or via DD/cheque, as specified to the User.
Payments can be made either in INR or in foreign currency, as detailed in the brochure or any other documentation provided at the time of booking.
If any cheque is dishonored, Optima Explore India Pvt Ltd (Anex Tour India), without any prior notice to the User, reserves the right to cancel the entire booking and pursue appropriate legal remedies.
Final documents and airline tickets will be issued only after the User has made the full payment to Optima Explore India Pvt Ltd (Anex Tour India). A PAN Card copy is required for cash payments amounting to Rs. 25,000 or more.
For calculating the tour cost or refund, foreign exchange components will be based on the prevailing rate of exchange on the day of calculation. Any fluctuations in the rate may affect the tour cost or refund amount, which the User must cover.
Optima Explore India Pvt Ltd (Anex Tour India) is not obligated to provide a detailed breakdown of the invoice for each service included in the package.
REFUNDS
Optima Explore India Pvt Ltd (Anex Tour India) acts only as an intermediary. Refunds for any services not delivered by the service provider or Independent Contractors are subject to Optima receiving the amount from those service providers. The User acknowledges that Optima Explore India Pvt Ltd (Anex Tour India) is not liable for delays or non-refunds from service providers or Independent Contractors. In such cases, the User should contact the service provider directly for claims.
If the User makes changes to their accommodation during the Outbound Tour, no refund or compensation will be provided. The User will also be responsible for any additional costs resulting from such changes.
If there is a delay in the refund beyond the specified period, Optima Explore India Pvt Ltd (Anex Tour India)'s liability will be limited to refunding the amount with interest at the applicable bank rate until the refund is processed.
AMENDMENTS
If Optima Explore India Pvt Ltd (Anex Tour India) modifies any tour or holiday after booking, the User can either accept the changes or opt for an alternative tour offered. In either case, Optima Explore India Pvt Ltd (Anex Tour India) will not be liable for any additional expenses, damage, or consequential loss suffered by the User.
The only liability of Optima Explore India Pvt Ltd (Anex Tour India) will be to refund the cost of the tour, less actual expenses incurred (e.g., visa, insurance), without interest.
PROMOTION & DISCOUNTS
Optima Explore India Pvt Ltd (Anex Tour India) may offer promotions and discounts on tour packages through various channels. Users in group tours might receive additional benefits from such promotions. No claims will be entertained for discounts or benefits if Users are not entitled.
Optima Explore India Pvt Ltd (Anex Tour India) reserves the right to withdraw any promotional scheme or discount at any time.
MISCELLANEOUS
Optima Explore India Pvt Ltd (Anex Tour India) reserves the right to withdraw tour membership from any User whose behavior disrupts the tour or affects others. Optima Explore India Pvt Ltd (Anex Tour India) will not be liable for any damages due to such withdrawal.
Booking a tour requires the User to purchase holiday insurance.
Transferring from one tour to another before departure will be treated as a cancellation of the original tour and will incur cancellation charges. A new booking will need to be made at current rates.
